The largest utility in Washington State, providing electric and natural gas service to communities across the region, engaged CoreX for a focused CMDB assessment and remediation effort within its ServiceNow environment. The objective was to evaluate the health of the existing Configuration Management Database, remediate prioritized issues, and establish a lightweight governance model to sustain data quality over time.
Challenge
A reliable CMDB is foundational to trustworthy IT operations, but configuration data tends to degrade over time as integrations, discovery, and manual processes introduce inconsistencies. The company needed a clear, objective picture of its current CMDB health, including how completely and correctly its configuration items were populated and how well discovery and external data sources were functioning.
Beyond the technical state of the data, the organization also needed clarity on governance. Without well-defined ownership, roles, and decision points, even a remediated CMDB will drift back toward inconsistency. The effort therefore needed to address both the immediate data quality issues and the operating model required to keep the CMDB healthy after the engagement concluded.
Solution
CoreX delivered a CMDB Health Check Lite advisory engagement combining assessment, targeted remediation, and governance design. The work began with a review of the existing ServiceNow CMDB configuration and documentation, using access to a clone or production instance, along with a discovery and integration health evaluation covering MID Server health, credential validity, probe and pattern execution, discovery schedules, and error logs.
CoreX also assessed external data sources contributing CI data to identify and reconcile conflicts and integration quality issues.
This assessment fed a series of current state and future state workshops with CMDB stakeholders, including platform owners, administrators, and process owners. Those sessions produced current state documentation, a final CMDB Health Check assessment with recommendations, a baseline KPI report measuring completeness, correctness, and compliance, and a roadmap with a Phase 1 plan and an executive summary presentation. CoreX also defined a data quality remediation strategy covering normalization rules, relationship enforcement, orphan CI cleanup, and deduplication.
With priorities established, CoreX dedicated remediation hours to address the highest-value findings. The team built and assigned remediation stories with agreed success criteria, executed the prioritized fixes, performed unit testing on modified configurations, and provided knowledge transfer and documentation on all changes.
In parallel, CoreX defined a lightweight CMDB governance model aligned to ServiceNow leading practices and the ServiceNow CMDB Process Guide, documenting governance roles, responsibilities, decision rights, an operational cadence for quality and governance reviews, and supporting dashboards and KPIs.
Results
As an in-progress engagement, the expected outcomes are framed around the defined scope of work. The company is expected to gain an objective, measurable view of its CMDB health through a baseline KPI report covering completeness, correctness, and compliance, along with a prioritized roadmap for improvement.
Targeted remediation is expected to resolve the highest-priority findings, with success defined as an operational CMDB health dashboard reaching an 85 percent or higher health score. The lightweight governance model, including defined roles, decision rights, an operating cadence, and knowledge transfer, is expected to leave the company equipped to sustain data quality after the engagement.
