A global building materials manufacturer operating across more than 50 countries set out to modernize supplier engagement across its complex supply chain network. With tens of thousands of employees and a highly distributed supplier ecosystem, the organization needed a better way to manage onboarding, inquiries, compliance, and transactional engagement without increasing operational friction.

What followed was a structured, phased ServiceNow Supplier Lifecycle Operations transformation designed to standardize, simplify, and future-proof supplier engagement worldwide.

Challenge

Complex Global Supply Chains

Operating across diverse regions introduced significant variability in supplier management. Each country brought unique regulatory requirements, local compliance standards, and project-based operational demands.

Supplier onboarding and offboarding occurred frequently. Regulatory inquiries required structured tracking. Maintenance, shipping, and installation activities triggered updates that were often handled through fragmented systems. There was no single, consistent way to manage supplier lifecycle interactions globally.

Fragmented Processes

Supplier engagement was distributed across tools and regional workflows. Manual handoffs slowed response times. Visibility into supplier status, documentation, and compliance varied by region.

The Solution

CoreX partnered with the organization to implement ServiceNow Supplier Lifecycle Operations as a unified digital foundation for global supplier engagement.

The transformation began in 2024 with the base configuration of Source-to-Pay capabilities as a pilot serving 104 customers. This phase established foundational SLO requirements and validated engagement workflows.

In November 2024, comprehensive requirements workshops were conducted to determine how best to leverage ServiceNow out-of-the-box functionality while aligning to the organization’s specific operating model. The objective was clear: drive value without unnecessary customization.

In 2025, the journey advanced with Release 1 focused on Mexico, expanding configuration and integrating the platform with enterprise systems. Go-live was planned for September 2, 2025. Each phase built intentionally on the last. Nothing rushed. Nothing bolted on.

A Unified Supplier Portal

At the center of the transformation was a consolidated, integrated supplier portal that replaced fragmented engagement processes with a single system of action. The platform enabled:

  • Global standardization of supplier onboarding, profile management, and task execution
  • Real-time supplier visibility through dashboards, digital forms, and structured status management
  • Automated workflows reducing manual handoffs and inquiry routing
  • Integrated connections to SAP, SuS, and planned Coupa integrations

Because of this, suppliers gained clarity, procurement gained control, and leadership gained transparency.

In turn, structured validations, vendor blocking logic, and health and safety adherence controls strengthened compliance across regions. What had previously required manual oversight became embedded in the workflow itself.

The Results

By consolidating fragmented supplier processes into a unified ServiceNow SLO platform, the organization created a consistent global foundation for supplier engagement. Onboarding, profile management, and transactional workflows are now standardized across regions, reducing variability while preserving local requirements.

Suppliers gained real-time visibility into their status, documentation, and requests through a centralized portal experience, replacing reactive communication with structured, transparent engagement. Procurement teams, no longer burdened by repetitive inquiries and manual coordination, were able to redirect their focus toward strategic sourcing, pricing negotiations, and higher-value decision-making.

Embedded compliance controls, vendor status logic, and structured validations strengthened governance while reducing operational risk. With seamless integrations to SAP and other enterprise systems, the organization decreased administrative overhead and improved workflow continuity.
